B2B sales and services · Sample scenario

Post-meeting summary and tasks

Decisions and tasks are extracted from a meeting transcript recorded with participants' consent, and written to the CRM and task system after the owners confirm them.

Problem

Work agreed in meetings gets forgotten: who does what by when is not written down anywhere afterwards.

How it works today

After the meeting someone emails their notes, or nobody does. Tasks stay in personal notebooks and the client record in the CRM is not updated.

What this scenario changes

From the transcript of a meeting that was recorded with consent, AI extracts decisions and tasks (owner, due date). Owners are matched against the participant list, each owner confirms their own task, and then the notes are written to the CRM and the task system. If the owner or date is unclear, the task is flagged "needs clarification".

The process step by step

  1. Meeting ended: Transcript is ready
  2. Recording consent checked: All participants agreed
  3. Decisions and tasks extracted: With owner and due date
  4. Participants matched: Is the owner on the invite list?
  5. Are owner and date clear?: Every task has both
  6. Owner confirms: Reviews their own task
  7. CRM and tasks updated: Summary to the record, task to the system
  8. Summary shared: Short summary for participants

Exception path

  1. Meeting organizer clarifies: Task flagged "needs clarification"
  2. Task on hold: Not created until clarified

The role of AI

Extracts decisions, tasks, owners and due dates from the transcript. It does not invent a name or date that is not in the transcript.

Human approval and exceptions

Each task is confirmed by its owner; if the owner or due date is not clear in the transcript, no task is created and it goes back to the meeting organizer flagged "needs clarification".

Frequently asked questions

Can a meeting be recorded without consent?

No. The process only runs for meetings where participants' consent to recording is on file.

Can AI assign the owner on its own?

No. If the owner is not stated clearly in the transcript, the task is flagged "needs clarification".

Where is the transcript stored?

In the system you choose, with an agreed retention period; only the summary is written to the CRM.
