HR and internal operations · Sample scenario

Structuring job applications

Only job-related information is extracted from a CV, compared factually with the vacancy criteria, and every application reaches HR with a summary.

Problem

CVs and applications arrive in many formats: PDF, Word, images and email text. HR spends a lot of time opening each one and looking for the same information.

How it works today

An HR specialist opens each CV separately and copies experience, skills and certificates into a sheet by hand. When applications pile up, some CVs are reviewed late or notes stay incomplete.

What this scenario changes

From an application received with the candidate's consent, AI extracts job-related facts (experience, skills, education, certificates). These facts are placed next to the criteria written in the vacancy: “stated”, “not stated”, “unclear”. No scores, no ranking, no one is rejected automatically, and HR reviews every application.

The process step by step

  1. Application received: The candidate submits the form and CV
  2. Consent checked: Permission to process the data
  3. Job-related data extracted: Experience, skills, certificates
  4. Factual comparison with criteria: No score, only stated / not stated
  5. Was information found for every criterion?: No criterion is “unclear”
  6. HR summary: Short, neutral, with source references
  7. HR review: HR chooses the next step
  8. Ready in the ATS: Structured card plus the original CV

Exception path

  1. HR reads the original CV: Missing information is checked manually
  2. Application in the HR queue: No automatic decision is made

The role of AI

Extracts only job-related facts from CVs in various formats and writes a short, neutral summary for HR. Data such as age, gender, nationality, marital status and photos is not extracted and is not used in the comparison.

Human approval and exceptions

An HR specialist reviews every application and makes all decisions. The system does not reject, rank or score candidates; a criterion with no information found is recorded as “not stated in CV”, not as “does not qualify”.

Frequently asked questions

Can the system reject or rank candidates?

No. There is no automatic rejection, ranking or scoring. The system only shows facts next to the criteria, and HR decides.

Are age, gender or nationality taken into account?

No. Protected characteristics are not extracted or used in the comparison; only the job-related criteria written in the vacancy are checked.

What if AI misreads the CV?

HR sees every card together with the original CV and can correct fields. Unclear information is marked “unclear”, not guessed.
