Enterprise: ERP, CRM and SAP · Enterprise scenario · Proposed architecture

From CRM to order fulfillment and payment (Lead-to-Cash)

The full cycle from sales opportunity to payment: requirements are structured, stock, price and credit are checked in parallel, after approval the order is created in the ERP and its status is visible in the CRM.

Who it is for: Distributors, manufacturers, B2B sales companies

Systems: CRM, SAP S/4HANA (sales and finance processes), Warehouse system, Bank data

Problem

Sales are tracked in the CRM, orders and invoices in the ERP, payments at the bank. The sales team cannot see which stage an order is in, and credit and discount checks happen over email.

How it works today

A sales rep prepares the quote in Excel, asks finance about the credit limit by email and enters the order into the ERP by hand. The order number is not written back to the CRM, and someone calls accounting to learn the invoice and payment status.

What this scenario changes

A CRM stage change starts the process. Requirements are extracted from meeting notes, master data, stock, price and credit are checked against rules, and exceptions go to an authorized approver. The order is created in the ERP with an idempotent write, its identifier is returned to the CRM, and delivery, invoice and payment events are updated in the CRM.

The integration method is chosen based on the SAP version and the available interfaces.

Process stages

  1. Opportunity and requirements: Turn the sales opportunity into a precise requirement list for the order. Result: Structured requirement: product, volume, delivery, contract
  2. Customer master data: Link the customer to the correct record in the ERP. Result: Existing or new Business Partner
  3. Parallel checks: Stock, price and credit are checked at the same time. Result: Combined result of the three checks. Approval: Head of finance (for a credit exception)
  4. Discount and margin: Check the offer against the authority matrix. Result: Offer within the rules or approved. Approval: Head of sales and finance
  5. Customer acceptance: The customer accepts the offer. Result: Accepted, unchanged offer version
  6. Sales order in the ERP: Create the order exactly once and return its ID to the CRM. Result: Sales Order and order number in the CRM
  7. Delivery and invoice: Track warehouse and finance events. Result: Delivery and invoice records
  8. Payment and full visibility: Match the payment to the invoice and show it in the CRM. Result: The sales team sees the full status of the order

Participants

The role of AI

Structures product, volume, delivery and contract requirements from meeting notes and explains the reason for an exception to the approver. It does not make credit or pricing decisions.

Rule-based automation

Master data, stock, price, credit and discount checks run on approved rules. The order write is idempotent through an operation ID, and on a timeout the target system is checked first.

Human approval and exceptions

When the credit limit is exceeded, the head of finance decides; when discount authority is exceeded, the head of sales and finance decide. If the offer changes, the earlier approval is not reused. When the retry limit is reached, an integration operator handles recovery.

Frequently asked questions

Do you have a ready-made SAP integration?

This page shows the proposed architecture and a synthetic demo. The integration method is chosen in the project based on the SAP version, active modules and available interfaces.

Does AI make the credit and discount decisions?

No. Checks run on approved rules, and for exceptions an authorized person decides. AI only structures the requirements and explains the exception.

If the ERP does not respond, can the order be created twice?

Every write has an operation ID. On a timeout the process first looks for the order in the ERP and does not create a new one if it is found. This is not an “exactly once” guarantee across all systems, so the reconciliation step is kept.
