From equipment fault to service and spare parts (Service-to-Resolution)

A service request is linked to the equipment, warranty and history are checked, the part and technician are selected in parallel, a different approval path runs depending on warranty, the service order and reservation are created once, and the work result is written to the equipment history and the CRM.

Who it is for: Industrial equipment, field service and manufacturing companies

Systems: CRM, Service system, SAP plant maintenance, SAP inventory data

Problem

The request sits in the CRM, equipment and warranty in the ERP, part stock in the warehouse, and the technician schedule in a separate spreadsheet. The dispatcher checks warranty, parts and technicians one by one, and repeat faults are noticed late.

How it works today

The dispatcher asks the customer for the serial number by phone, searches the document archive for the warranty and calls the warehouse about the part. The service order is opened by hand, technician notes arrive on paper, and the invoice and CRM are updated late.

What this scenario changes

A request or equipment event starts the process. The equipment is identified, warranty, contract and history are checked by rules, and AI prepares a first summary for the specialist. Part and technician are checked in parallel. Within warranty the service manager approves, outside warranty the customer approves an estimate. The service order and part reservation are created with an idempotent write, and an invoice is prepared only when needed.

The integration method is chosen based on the SAP version and the available interfaces.

Process stages

  1. Request and equipment: Link the request to a specific piece of equipment. Result: Equipment identifier and installation site
  2. Warranty and history: See warranty, contract and earlier jobs. Result: Coverage status and repeat fault flag
  3. First summary: Give the specialist short, accurate information. Result: Summary prepared from history and notes
  4. Part and technician: Check part availability and technician fit at the same time. Result: Available part or purchase requisition, suitable technician
  5. Approval path: Run the right approval path based on warranty. Result: Approved warranty claim or accepted estimate. Approval: Service manager or customer
  6. Service order and permit: Create the order and part reservation exactly once. Result: Service Order, reserved part, work permit when needed
  7. Technical work: Record the work result, usage and time. Result: Confirmed part usage and working time
  8. Invoice and history: Invoice when needed, then history and CRM. Result: Closed service order and updated request

Participants

The role of AI

Analyzes the service history and technical notes, finds similar jobs and prepares a first summary for the specialist. It does not control the equipment remotely or send it commands, and it does not make warranty, cost or safety decisions.

Rule-based automation

Equipment lookup, warranty, history, part and technician checks run on approved rules. The service order and part reservation are written once with an operation ID, and on a timeout the target system is checked first.

Human approval and exceptions

Within warranty the service manager approves the claim, outside warranty the customer accepts the estimate. A responsible person issues the safe work permit. The dispatcher resolves usage discrepancies, and the integration operator recovers when the retry limit is reached.

Frequently asked questions

Do you have a ready-made integration with SAP plant maintenance?

This page shows a proposed architecture and a synthetic demo. The integration method is chosen in the project based on the SAP version, active modules and available interfaces.

Does AI control the equipment remotely?

No. AI analyzes the service history and technical notes and prepares a summary for the specialist. It does not send commands to the equipment; a technician does the work, with a safe work permit when needed.

What changes within and outside warranty?

Within warranty the service manager approves the claim and no invoice is prepared. Outside warranty the customer accepts the estimate, and after the job an invoice is prepared based on confirmed usage.
